As anyone who’s worked in complex care knows, staff scheduling is far more challenging than in typical cases of dementia care.

For people with acquired brain injury (ABI) or learning disabilities, you often need to plan 24-hour support, in detail, around a single individual. That will often include activities such as hobbies and exercise, shifts for other clinical professionals including therapists, and medical tasks such as equipment checks and changes.

With high staff ratios of 2:1 support or greater, you may also need to schedule multiple shift types at a given time, with different rates of pay – and the pay may also vary on weekends, or depending on the time of day.

Total Care Manager’s rota was built based on first-hand experience of managing this type of support. This helps to optimise team management and collaboration, improve safety and accountability, and supply better-organised data for payroll and compliance purposes.

Total Care Manager’s rota is organised primarily around the individual. This means we can slot easily into any support setting: whether domiciliary, residential, or used by personal budget holders at home.

This is useful for teams which work across both community and residential support, or which support multiple individuals where the rotas are completely different from one client to the next.

Shift patterns can be saved as defaults, speeding up rota creation and reducing the chance of scheduling errors. Shifts can be automatically assigned to team members based on staff availability and the type of support needed in that shift.

As with all of Total Care Manager’s technology, our rotas put safety and compliance first. Our care plans and read receipts are directly integrated into the rota and vice versa. This makes it easy to track sick leave, no-shows, and attendance across multiple clients, and receive automatic warnings of late starts and no-shows.

All this data can be seamlessly exported for CQC reporting, or pushed into your compliance software via our open API.

Flexible team management & collaboration

Flexibility is highly valuable in care scheduling, allowing teams to cover for each other and avoid any gaps in service delivery.

Our rota includes a bidding platform so that team members can bid for an unfilled shift, and the ability to grant permissions for colleagues to exchange shifts between themselves.
